Dear Exhibitor:

We can’t escape green. Not a day goes by that we read on-line or in print, or listen to the radio, or watch the television and do not hear something about issues of sustainability. Whether these discussions take place by desire or by necessity, the important thing is that they are taking place all around us. They have become part of our daily lexicon

I recently listened on NPR to a discussion about glaciers in the Bolivian Andes melting faster than new ice is being generated - - this being a result of greenhouse gases most likely generated in other, more- developed parts of the world. The melting of these glaciers will in the near future put the capital city of LaPaz at risk of not being able to generate sufficient electricity. Why? Much of that city’s power is generated by water flowing from these glaciers through hydro-electric plants. This is just one of the many examples of how global warming has made our planet a very, very small world - - and how what we do on one continent can have a direct effect on a completely different one.

Review the Checklist for upcoming Deadlines
Please take a moment to review the Deadline Checklist from the On-Line Exhibitor Services Manual. Adhering to these deadlines will ensure you get the Early Bird rates for all show services. Not only will this save you substantially over the last-minute price, it will also allow you to confirm your orders in advance of the show with each vendor - - saving you time on-site during move-in.

Save Time On-Site: Exhibitor Registration Now Available On-Line!
Another method to save time on-site is to register your on-site staff in advance of the show. Do so by April 25 and we will mail your badges in advance - - then all you need to do upon arrival is stop by the Badge Holder Pick-Up Desk before going on the show floor. Why waste time in line when we make it this easy?

(P.S. Exhibitor badges allow you access to the expo hall two hours prior to show opening each day. Therefore, we ask that for security purposes you only provide these to company personnel working in your booth. For your guests, please click here and order Guest Invitations instead.)

Book Early to avoid Expected Increases to Travel Costs
The Los Angeles Times has reported (Sunday, March 9, 2008) that, due to the continued increasing cost of jet fuel, airfares are expected to rise throughout 2008. To help combat this, Green West has partnered with American Airlines to offer a 5% discount off its best fares for travel to and from Los Angeles (LAX)/Burbank (BUR)/Orange County (SNA)/Ontario (ONT) airports. Additionally, if you’re in Southern California you may want to consider the eco-friendliness of taking the train: Amtrak is extending show participants a 10% discount off its already low fares. Hertz Rental Cars is also discounting rates for Green West – be sure to check out their “Green Collection”. Click here for more details and to book on-line.

(P.S. When booking your return trip from Los Angeles, be sure to take into consideration the closing time of the show, the time you’ll need to pack-up and move-out, and the travel time back to the airport or rail station)

The deadline to submit your free 50-word Show Guide listing is March 31. To submit your listing, visit Marketing and Promotional Opportunities and click on “Free Listings in the Green West Show Guide”. Don’t miss this important opportunity to be front-and-center with attendees!

What is an “Official Contractor” versus an “Exhibitor-Appointed Contractor (EAC)”?
An “Official Contractor” is one that we at Green Media Enterprises have used before, and one in which we feel comfortable placing our trust and the trust of our customers. Official Contractors service many clients at the same show, so their rate is often more competitive than an EAC’s for the same services. Additionally, there is the added benefit of having the Official Contractor’s personnel on-site in the event you need assistance while at the show. Despite the benefits outlined above, we understand that sometimes you want to work with the people you’re used to working with! While certain functions on the show floor are exclusive, there are other instances where you are allowed to hire your own vendors - which we call “Exhibitor-Appointed Contractors (EAC)”. If you choose to bring an EAC to the show, you must adhere to the guidelines outlined in the On-Line Exhibitor Services Manual - the most important of which is the EAC must submit proper insurance documentation. The deadline to request to use an EAC and submit the required documentation is April 18.

Waste Not, Want Not
In our continuing effort to reduce the overall rubbish footprint of the show, Green West has partnered with Gifts In Kind International to bring its Exhibitor Donation Program to the show floor. Please click here to download the forms necessary to let Gifts In Kind know that you may have leftover exhibit materials for them to re-purpose. You’d be surprised how easy it is to help others. This year’s charity partner with Gifts In Kind is the Los Angeles Union Rescue Mission, which has been helping people get back on their feet since 1891. On-site, you can visit Gifts in Kind in booth 827.

Have you Covered Us?
It’s extremely important to us, as it should be to you, that all exhibitors at Green West have sufficient insurance in the event of any unforeseen circumstances. This is why we ask that you take a moment to review Section 11 of the Exhibit Space Contract for Green West. We must have your Certificate of Insurance – listing Green Media Enterprises as Additional Insured – no later than April 16. If you do not currently have insurance, or if your current carrier is unable to provide appropriate coverage, click here for our recommended broker.

Book a Bed, Get a Bus
For hotel reservations made by April 25 through the official Green West housing service at any of the seven official show hotels, we will provide at check-in a Transit Access Pass valid for three consecutive days of unlimited travel on any Metro bus, light rail, or subway line throughout Los Angeles. And don’t worry – we’ll provide very detailed instructions on how to use these passes to get from your hotel to the Convention Center each day!

A Taste of Green L.A.
You are invited to attend A Taste of Green L.A. Taste of Green LA reception at the close of the show on Tuesday, May 20. At the reception, you’ll have the opportunity to enjoy sustainable samples from some of Los Angeles’ hottest restaurants, including: Ciudad, Wilshire, J Restaurant & Lounge, M Café de Chaya, and Mendoncino Farms & Market. In fact, if you plan to do any entertaining in the “Entertainment Capital of the World”, do yourself a favor and book one of these restaurants.

Green Rum?
